Our approach to privacy
This policy explains how personal data is handled when you use the Contact and Renewable Consultation forms.
Obsidian Systems Ltd, operating Eco Connect Services, is the data controller for the personal data covered by this policy. You can contact us through the Contact page or at enquiries@ecoconnectservices.co.uk.

Information we collect
We collect the information you choose to provide when you submit one of our forms.
Contact form
- reason for contact, name, email address and enquiry message;
- telephone number, where you choose to provide it; and
- confirmation that you have read this privacy policy.
Renewable Consultation form
- your enquiry type, name, email address, postcode and project goals;
- the technologies or topics you select and preferred contact method;
- telephone number, where you choose to provide it; and
- confirmation that you have read this privacy policy.
We also use a hidden anti-spam field. It is not intended for visitors to complete and is not shown to assistive technology.
Why we use your information
We use form information to:
- respond to your question or consultation request;
- understand the broad context of your enquiry and route it appropriately;
- keep an appropriate record of communications; and
- protect the forms and website from misuse.
The legal basis will depend on the context of your enquiry. It may include taking steps at your request before entering into an agreement, our legitimate interests in responding to and managing enquiries, or another basis where applicable. Acknowledging this policy does not subscribe you to marketing.
Where information is handled
The website uses Netlify Forms to receive and store form submissions. Form notification emails are routed to the Eco Connect shared mailbox in Microsoft 365. These are the services currently confirmed for the enquiry journey.
Obsidian Systems Ltd will handle enquiry information through the services used for that journey and only for the purposes described in this policy.
How long we keep information
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including legal, accounting, or reporting requirements.
Your rights and complaints
Depending on the circumstances, you may have rights to:
- ask for access to your personal data;
- ask for incorrect information to be corrected;
- ask for data to be erased, restricted or object to its use;
- request portability where this applies; and
- withdraw consent where processing relies on consent.

We are not currently registered with the Information Commissioner’s Office (ICO).
Changes to this policy
We may update this policy when the website, enquiry process or legal requirements change. The review date above will be updated when this happens.
